  MISFITS Working Meeting Minutes

Tuesday, August 23rd, 2005 - 7:00 PM
Location - MISFITS Office, St. Paul, MN

Event Post-mortems

  • Ice Cream Social: Jodie compiled a written report. The grand total spent (minus Amada's contribution) was $106.58. It was recommended that next year we try to move the social around the Fringe Festival. Post cards were also recommended for next year. The weather was great and the crowd was good. It was recommended to consider a new location for next year, as we are outgrowing the Roadkill's space (spilling into neighbor's yard.) We were fortunate to get permission to use that additional space but it may not always be available in the future. Maybe have the event at a Pavilion (more new members might also attend if the event is in a public space.) Total headcount was 52 people. Dry ice usage needs to be perfected as well.
  • Game Day at the Source: Peter gave this report. We got three new names on the MISFITS sign up list. Chad, our contact at the Source, invited us back another time. Total headcount was about seven to twelve people, with people coming and going. Matt recommended the event happen on a quarterly basis. Tony created a great DVD for the event. Suction cups were recommended for the window to display the MISFITS banner. The hours of operation (2 to 7 PM) were good. A variety of games were played.

Club/Program Reports

  • Read the Book / See the Movie - Jodie will send message to Tim about rescheduling for November 18th (conflict week prior with OmegaCon).
  • Crafty Geek - Jodie sent invites to people via email. Erica tried contacting Crafty Planet twice. Possible dates for meeting are: Sept. 11 or the 18th. Erica will go there tomorrow (Wed.) in person.
  • Writers Club - No updates.
  • Geek Physique - Club has been approved. Weeknights are better - Matt will write web blurb. First meeting will be the first weeknight after first frost (aka early October). Jodie will create email address for club. Diabegeek has met once so far (in August) - met at Gingko's, Tim will change meeting night and/or location because it was the same night as open mike/music night. Three people there and two were not current misfits members. Future diabegeek meetings planned.
  • In the Schools - request increased from 5 K to 6,1 K. Wanted two more authors. Erica recommended possibly reallocating funds to get more author visits rather than $100.
  • Happy Holidays - Deadline is two weeks before scavenger hunt for names. Ish and Jeremy suggested proceeds from scavenger hunt go to HH. Also, take donations at that time. Promotion - Website and email out on Chris's list. Selection committee will be Ish, Jeremy, and Erica. Left up to choice of person if they want to be anonymous. Most people at meeting felt it should stay anonymous. Donation jars at movie night and at November con-comm (6th).
  • Room party announcement - all room party proposals must be submitted. Eric Kassel, Jeremy did Anime Detour, Dave Kingsley, Emily Stewart, etc - what budget they are looking for, their plan, theme, food, who is helping, how many nights, what hours keeping, what they are expecting from officers, misfits doesn't pay for alcohol. Only nights for room party being held, does misfits pay for one 'ghost' person. Jodie is making form and webpage. Mailed to office, attn: room parties. Peter will send out email to board and people who have hosted in past.
  • GOT Edutainment:
    • Valleyfair - Thomas is hosting. Coupons have been given to him. Sunday - 10 AM, 1 PM lunch, geek shirts.
    • Renfest day - 17th of September. Erica will meet people at opening gate at 9 AM. Meeting at 11 AM and Vilification Tennis. 2nd to last weekend - busiest weekend.
    • Corn Maze - Tim is voluntold to host event. Waiting on Tim to pick day.
    • Survey results - game day and movie events (put on website). we got 22 surveys.
    • Tenative schedule: December - Dayton's floor and dinner and Holidazzle. January - Burlesque show. February - Snow Tubing. Need someone to head up all three if possible.
    • Waterpark day in June at Wild Mountain.
  • Chinese New Year Party - Tentative for February 11th. Peter will follow up with Ish regarding this - tentative budget is $750.
  • Rex movie nights - no updates - we need hotel confirmation from Ish - Erica will ask him. Eric sent Jodie a graphic to use on a postcard. Jodie will design the postcard.
  • Scavenger hunt - Only shipside is open on 22nd. Possible move to the 29th - hotel needs to be consulted. Or move to Sunday the 23rd. Peter will email Ish for options. Peter needs volunteers - Jodie is volunteering, so is Erica. We need ten judges.
  • Staff party - Peter will call Elsie's. Banquet room costs, groups, potluck vs. their food, we will ask on Thursday or earlier regarding 5th vs. 6th.
  • Jodie emailed Kevin McColl regarding the club Tech MISFITS. The current status of the club is defunct. We are looking for someone to head this club up and begin anew.

Budget

  • Budget Update - Thomas handed out the preliminary budget for next year. The officers reviewed modifications and approved the increased budget for the In the Schools program. A special thank you to Thomas for all the hard work he put into this upcoming year's budget.

Action Items

  • Peter will contact Chad to see if we can schedule the next gaming day the first week in December.
  • Peter will contact Elsie's and get pricing information. Also - what food can we bring vs. buy.
  • Officers should think of things that are capital expenditures for next year.
  • Erica handle promotion for Happy Holidays (email out, etc.) Or she can delegate this to Jeremy or Ish, who are both on this committee.
  • Matt will write a Geek Physique blurb and get it to Jodie.
  • Matt will contact Dave Kingsley to see if there are any membership lists (aka attendance sheets) out there from last year's meetings (and first half of this year).
  • Matt and Peter will work on attendance / membership lists in time for November Con-Comm
  • Jodie will design a postcard for Rex Movie Night.
  • Peter will ask Ish about getting a space for February 11th for Chinese New Year party.
  • Jodie will create a new membership form based on the template (with modifications) found for an out of date form. She will also look into an electronic form that can be filled out online.
  • Judges (a total of ten) are needed for the scavenger hunt.
  • Peter will talk to Ish about getting the hotel on either the 23rd or the 29th instead of the 22nd, as only Shipside is available for space.
  • Jodie will create a geek physique email address which will be delivered to Matt.
  • Erica will follow up with Crafty Planet regarding using some of their space.

Suggestions

  • Jodie wants four postcards out a year for various events. The benefits of emails versus postcards were discussed. Quarterly postcards and monthly emails were decided upon.
  • Nexus Point - Peter wants electronic version. Spoke to Chris about it. He has some and he will dig them up.
  • Pat suggested that "in" bins be remade in office.
  • Writing Contest FAQ and future agenda item.
