MISFITS
Working Meeting Minutes
Tuesday, September 27rd, 2005 - 7:00
PM
Location - MISFITS Office, St. Paul, MN
In Attendance:
Officers - Jodie, Peter, Matt, Erica
Event Post Mortems
- Valleyfair
- We had about six people at Valleyfair, same as last
year. Suggestion was made to perhaps alternate Valleyfair
with State Fair each year, making it a bi-annual event.
- Renfest Day - We
had 6 people also (not counting festies that were there). It
was recommended to have a Renfest Day again next year.
Clubs Updates
- Crafty Geek -
10 people at first meeting, big success, room was full.
The attendance included two people that have attended
CVG but never have attended a MISFITS event before. The
contact information for the new faces was not captured.
Suggested that their information is captured next time
to be added to the membership list. Crafty Planet was a
good space, people are able to bring treats in. People
bought stuff from the store, which made the store happy.
Next meeting is Sunday, October 30th, at 1-3 PM at
Crafty Planet.
- Geek Physique -
Matt wrote a web blurb, which Jodie put on the website.
Lake Como was chosen as the place for the first meeting
on October 11th. The meeting will be rain or shine. It
there is heavy rain; we will meet in the coffee shop by
the lake. If it is not raining, we will still meet by
the coffee shop, just outside it. It was suggested that
Geek Physique partner with the Gutter Geeks for a
bowling event.
- Diabegeek - No
new updates but Tim has meetings and a field trip
scheduled. The information is on the website.
- Read Book / See
Movie - Jodie said there was a good crowd last time.
The monthly announcement reminder was sent out late.
There was some concern from the club membership about
the details of what is going on. It was suggested that
the email announcement be made the week before. Jodie
recommended (and Peter seconded) the creation of a
sub-head for this group. Jodie will request the club
membership list from Tim in order to create a new google
group for backup purposes. Peter suggested one of the
Richards' as a sub-head.
- Writer's Group
- No updates. October 20th is supposed to be the next
meeting. Peter will attend to try to ascertain the
status of club because of no updates or representation
at working meetings.
- Tech Misfits
(looking for new group leader) - Decision was made to
rest the club for six months. We will revisit later to
see if anyone is interested in heading this club.
- Book Club - The
officers voted on the book club and it passed. It had
already been pre-approved by the Board years ago. Jody
Wurl is set to be the club head. Alicia LaMunion is the
sub-head. The title proposed for the club is "Geeks
Read." Other names suggested by the officers included "GeekReads,"
"The Literate Geek," "Please Don't Take My Lunch Money,"
and "Come Beat Me Up." The first informational meeting
will be Thursday, October 13th at Jody Wurls house.
President Jodie will put set up a club address and
create a blurb on the main page.
Program
Updates
- In the Schools
- Thomas and Jodie are heads of this. Windy
forwarded some contact information to the officers
(Washington Tech Magnet School), who forwarded it to
Erin for contact. Jodie read out an email that Erin
wrote. Erin mentioned that she is working a raptors
program and a robotics program at Battle Creek
Elementary and American Indian Cultural School.
Erica recommended a nomination process for the
website to suggested additional schools to have
events at. Matt suggested University Avenue
Elementary School in Blaine (his alma mater). Erin
is also working on Jeremy's request for his nephew's
school in Minneapolis. She has also been working
with Jody Wurl about demonstrations in libraries,
which will happen after January 1st, due to internal
guidelines for Hennepin County (moratorium in effect
on presentations apparently).
- Happy Holidays
- Erica had a meeting with some of the Board. One
family has been nominated so far. She has put a
blurb online and on the MNSF Livejournal Community.
Peter will nominate a second family. Deadline for
nominations is still October 22nd
Room
Party
- Misfittle Lab
Construction still needs a project manager. Matt
suggested either Dave B. and/or Emily S. We need
concept art from Chris Jones. Jodie is happy to
help out but is not taking lead. Plan is to
ambush Mr. Jones at OmegaCon for sketches.
- Jodie was
assigned web page guidelines and a form creation
at the last meeting. Jodie is continuing to work
on this and will have another update at the
October meeting.
Budget
- Thomas was
not present at this meeting. He presented a
preliminary budget update to us at the last
meeting that looked good. He asked, at the
last meeting, that officers come up with
things for capital expenditures. Capital
Expenditures suggested included: business
cards were suggested with the MISFITS logo,
website URL, and other information. Erica is
going to print up business cards for the
officers. Peter mentioned that he would like
a new banner that is cloth and will be the
same size as the façade measuring the width
of a standard cabana room at the Sheraton
Bloomington. We would also like a smaller
banner for other things, including Game Day
at the Source and to hang outside doors at
traveling room parties at other conventions.
Letterhead for MISFITS was also suggested.
Events Updates
-
Corn Maze - will be on Sunday,
October 16th, 2005 at Sever's Corn Maze.
Tim Wick is the lead on this. It appears
well organized. Jodie has a blurb up on
the website with coupon information.
-
Scavenger Hunt - this event has been
tabled until next spring. After the
meeting, it was learned that the
Sheraton is open either October 23rd or
29th. However, it was not communicated
whether any space outside of Shipside
was open. It was felt Shipside was too
small a space to have the judging of the
items and reception. It is doubtful that
this event could be ready to go in under
20 days for an October date.
-
Staff Appreciation Party - This will
be at Elsie's bowling alley on November
5th. The start time is 2 PM. Peter will
contact Elsie's to confirm and reserve
space. We cannot bring outside food into
the alley. The invite list has been
created based on volunteer hours and
staff members from last year. Invites
need to be sent out by October 10th.
R.S.V.P. is required for the event by
October 24th. We will have light
appetizers available and MISFITS will
pay for two games of bowling. Additional
food or drink is available from Elsie's
but must be purchased by invitees.
-
Mystery Movie Night - This event
will be November 19th. Erica will email
Eric an invite to the Oct. 25th working
meeting. Peter will invite John. Jodie
is working on designing a postcard for
the event. The budget for the event is
$600.00. The Rex Boys are pursuing
rights packages for the evening and will
make a final decision about food for the
event. We have coordinated with Mike Lee
and CVG programming to have the event
the same day as the programming
brainstorm meeting (which will take
place earlier in the day.) Tailgating
movie theatre day next summer and/or
drive in theatre.
Farther Out (Calendar Review)
-
Dec: Daytons Floor/Dinner/Holidazzle
(date/leader?) Erica is leader and
will talk to Emily to help with
this. (President Note: I find it
humorous how everyone still calls
this the "Dayton's" display rather
than the Marshall Field's display or
soon to be Macy's display - Jodie)
-
Jan: Game Day at the Source-
January 21st. Peter will confirm.
-
Jan: Burlesque Show
(date/location needed) Windy is
voluntold as co-head of GOT
Edutainment.
-
Feb: Snow Tubing
(location/weekend/leader?) Windy's
suggestion?
-
Feb: Chinese New Year (set
for February 11th)
-
Jun: Wild Mountain -
Saturday, June 17th.
Other Items:
-
Jodie is working on a new
membership form and online
submission process. She gave us
a sample form, which the
officers present reviewed. We
decided to add check boxes
indicating
club/program/volunteer interest.
-
Matt will send out an email to
Chris to be passed along to a
larger membership list
(announcements.)
-
An
event backup plan was created in
case the officer in charge is
unable to make an event at the
last minute. The first step is
to send a "HELP" email to the
officers. Then, if there is no
response, to the Board. The
phone should be used, messages,
left, and you should call
someone until you get a live
person to communicate with.
-
Matt emailed David Kingsley to
get old attendance lists. David
is working on it and looking for
information. If nothing
surfaces, we will go with the
data we have and, if in doubt,
give people the benefit of the
doubt for voting purposes. Matt
and Peter will need to sit with
someone from the registration
department to generate a full
list. Sometime in November we
will compile everything and come
up with a voting list. The
January concomm meeting is 22nd.
Action Items
-
Matt will look for invite
list for Staff Appreciation
Party.
-
Peter will contact Elsie's
to confirm reservation for
11/05.
-
Peter will contact Chad at
the Source and cement the
1/21/06 date for our next
Game Day @ the Source.
-
Matt will email Chris a list
of news items.
-
Erica will touch base with
Emily about coordinating a
Holidazzle / Dayton's event.
-
Matt will print out emails
of Board members who are
running for office again and
put them (along with Jodie's
confirmation) in the MISFITS
office.
Suggestions
-
In lieu of Wild Mountain
or in addition to, we
could also go to an
indoor water park. There
is one in Brooklyn Park
that was recommended,
there is also the
community center in
Shoreview. This way the
water park idea could be
done during the long
Minnesota winter.
-
It would be fun to have
a movie night next
summer - perhaps rent
out a theatre for a
whole day's worth of
movies and 'tailgate' in
the parking lot.
Alternatively, we could
organize a double or
triple feature out to a
drive in.
