  MISFITS Working Meeting Minutes

Tuesday, October 25, 2005 - 7:00 PM
Location - MISFITS Office, St. Paul, MN

Event Post Mortems

  • Corn Maze - Small turnout. Tim, Jen Manna, the Beardshears, and Tim's day care provider (Angie) and her family were there. Tim had some requests for more information from individuals but that was the turnout. Those who were there had a good time and should there be a desire to have such an event again next year, Tim would be happy to organize it. Jodie and Erica recommended this and/or an apple orchard.

Club Updates

  • Crafty Geek: Next meeting is this Sunday. Jodie is getting a bin for a swap bin. Reminder - daylights savings time. Erica is thinking about organizing a holiday cookie making event at her house/exchange/cookie decorations. Diabegeek group is not invited. : P
  • Geek Physique - Matt and Jodie walked around Lake Como. Two other people were there but were invisible. They walked around the lake in the other direction. Next time, post walking direction online. Then we went to Subway for healthy food, went back to Matt's place and watched "The Biggest Loser." We brainstormed a list of ideas. We need MISFITS / CONvergence hoodies. Next event not yet scheduled.
  • Diabegeek - Peter requested that the name be changed. Too hard and weird to pronounce. Three people made it to the diabetic expo in October. The group is still small but hopefully will grow over time (hopefully not from new diabetic diagnoses.) Tim needs to check about moving our November meeting to the second Wed. because Tim has an OmegaCon meeting on the first Wednesday. He will check on that and update the officers.
  • Read the Book / See the Movie - 12 people at last meeting, picks were made for the next year. The next book is Motorcycle Diaries.
  • Geek Reads! (The Book Club) - 9 people at the meeting. Jodie commended Jody and Alicia for how they ran the meeting. The meetings are the first Tuesday of every month. First book is available online. Books picked via a voting method - nominations given out. People vote on the nominations. Cycle of three choices. Spoiler policy - if you are there, things will be discussed. If you hadn't read the book, you are welcome but there is not spoiler protection.
  • Writer's Group - Peter had a complaint. One of Peter's co-workers was trying to get information on the club and Jim hadn't responded to at least three emails. Jodie will follow up with the email box to ensure that those who expressed an interest will be contacted. Jodie hasn't gotten any information about the writers group. Jim needs a sub-head picked and a turn-around time of 72 hours for all emails. We need to add that to the club expectations.
  • Club Expectations - we need to have a representative here at least 25% of the time (three working meetings a year) doesn't have to be a head or sub head - but at least a member. Also, Jodie and Matt need monthly updates for websites and to know that the club is still alive.

Program Updates

  • In the Schools - Erica suggested Battle Creek Middle Schools in addition to the elementary schools. She will follow up with Emily/Erin. Erin emailed a report - 3 reptiles, 3 robotics, and 1 NASA scheduled out. There is a new person presenting Raptor stuff because the usual person is out on maternity leave.
  • Happy Holidays - Two submissions. The committee decided on a selection of an individual/family. The individual/family hasn't been contacted. Peter suggested a Target gift card as you can get food and other things there. Ishmael suggested a new, second person as back up.

Events Updates

  • Room Parties - Jodie has a draft of a room party request form that covers everything we have been working on. We still need to draft guidelines. Matt suggested two additional lines (estimated attendance at convention and scope of the convention (topics.)) Ishmael suggested that Jodie checks with Bridget, current party's head for guidelines and liability waiver. Dave Benhart is going to head up the Misfittle Lab. Jodie is the officer liaison to work with Dave (Peter, Matt, Erica have expressed interest in helping as well.) Plan is to still hit Chris Jones up at Omegacon to come up with some sketches. Budget for Dave's party is about $1000.00. Lab coats with embroidery suggested.
  • Staff Appreciation Party - November 5th. Jodie has gotten good feedback about the eVite system. Peter will call Elsie's and reserve space and order appetizers. Peter vetoed awards. Note for next year - Volunteer Event (an hour or more) and Staff Recognition at Summer Picnic with tangible items (mugs/t-shirts/etc).
  • Mystery Movie Night - Rex boys not at meeting. Jodie will call Eric, Jodie is designing post card. Jodie will share info with Chris and make a flyer for Scrimshaw and we can use the flyer at Con-Comm as well. Jodie will contact Tonya for volunteer help.
  • Dayton's - Emily is interested in heading this event. Erica will contact her and Emily can decide a date that works for her if she is interested in stepping up. Erica agreed to help back up the event.
  • Gaming at The Source - we just need a few weeks notice. Our next game day will be in January.
  • Windy is organizing the burlesque show. She is also organizing a snow tubing event, it is recommended that they are separate events ;o) Ish recommended we contact her to firm up dates as soon as possible.
  • Chinese New Year - Cancelled unless a volunteer wants to head this up. Officers not interested in planning this at this time.
  • Trivia Contest - April 1st.
  • Scavenger Hunt - Should be in May. We are requesting Plaza 5 and 6 on a Saturday. Ishmael will check. Peter is point for this.
  • Homecoming vs. Geek Prom - alternate years.
  • Grand Rios Indoor Waterpark Visit - sometime in March
  • Movie for Summer - Jodie will ask Melissa about fronting for MISFITS for Plymouth Main theatre to rent to show some films.

Budget

  • No budget requests for the last two months. Six months deadline to turn in request from date of event with receipts. Reviewed capital expenditures.

Other

  • Membership forms - Jodie handed out a great membership form for final review and it will go online as well.
  • Membership List - We need to go through Windy to get two copies of database from Andy. Matt will email Windy to get two copies of database, one of which will go to Peter. Matt and Peter will review database in November at Matt's house to determine voter eligibility for January ConComm.
  • Jodie will contact Chris with some event/club blurbs for inclusion in the PR2 ASAP.
