MISFITS Officer
Retreat Sunday,
April 23, 2006
5:00 pm @ 20th Floor of the Sheraton Bloomington

To facilitate frank discussion
about the MISFITS organization, the current MISFIT officers
invited former officers up to the luxurious 20th floor of the
Sheraton Bloomington for an open conversation and pizza party
about MISFITS and to get their ideas for future programs and
events.
Election Reform
- Age for voting - A
number of suggestions were put forth. In additional to
meeting the regular requirements and putting in volunteer
hours into the organization (only five of which can be
earned at CVG), it was decided that the age limit for voting
should be 14 years and up. We will submit this suggestion to
the board of directors for a vote on 4/27.
- Voting at Concom -
Since the board of directors have requested MISFITS in the
past to shift voting meetings to convention committee
meetings, the officers and former officers are in agreement
that, while voting is going on, no other business should be
taking place. We require a good 45 minute chunk of time to
facilitate voting and request that the directors inform the
convention committee of this and to plan that, at the yearly
voting meeting, to allot extra time for an extended meeting.
We received anonymous complaints from the membership that
the past election was too chaotic and rushed. It should be
the first order of business of the day during the meeting
and the CVG portion of the meeting would resume once the
balloting process is completed. We will submit this
suggestion to the board of directors for a vote on 4/27.
- Distinguishing events
- The officer request clarification in the by-laws regarding
a distinction between CONvergence and MISFITS events. Only
five volunteer hours can be earned at the CONvergence
convention. Also, club attendance does not count as
volunteer hours. Example - attending a book/movie club event
does not count towards hours but hosting a book/movie club
event does count. We will submit this suggestion to the
board of directors for a vote on 4/27.
- Ballot process - It
was the recommendation of the officer, the election judges
at the most recent election, and members of the convention
committee that ballots not be passed out to membership as a
whole. Some members anonymously voiced their discomfort in
voting knowing that a board member was sitting next to them
or a few people down from them. Recommended solution - have
a judge table and a ballot table. Divide the membership into
three lines based on alphabet (last name), similar to how
voting is conducted in precincts. Confirm the identity of
the person voting, confirm the number of hours
served/recorded, hand them a ballot. They then proceed to
another table with their back to the crowd, cast their
ballot in an official ballot box, and then return to their
seat. Streamline the whole process, mention to the
membership that you can choose to abstain from voting for
certain people if you chose to. We will submit this
suggestion to the board of directors for a vote on 4/27.
Officer
Nominations
- The current officers
request, to be added into the bylaws, that you have to have
attended at least two additional MISFITS events during the
year (besides CONvergence) to put yourself forward as a
MISFITS officer nomination. We will submit this suggestion
to the board of directors for a vote on 4/27.
Writers Group
- Given Jodie's experience
at the last writer's group meeting and how she was treated
by the current head, it was suggested to ask Sharon Snyder
if she would be willing to host this club in the future.
Things We
Have Done Well this Past Year
- Paid our phone bill!
- Got "In the Schools" going
strong again, thanks to Erin L.'s help.
- Officer at every single
concom meeting with their "officer hat" on - there to
represent the organization of MISFITS as opposed to another
departmental sub-head for the con.
- Communication has been
good (Jen says it has been great!)
- Minutes posted for all
meetings - transparency in all dealings (for those who
actually take time to read the minutes.)
- Favorite events (quick
'round the room) - 4 votes for Trivia Contest, 1 for Book
Club, 1 for Rex Movie Night, 2 for Ice Cream Social.
Things
We can Improve Upon this Next Year
(Wish List - sky's the limit)
- Room parties - It was
suggested that room parties this past year were kind of "meh."
Some officers disagreed and thought the room parties were
above average.
- Thomas wants cable
internet and wi-fi access for the office including a
wireless camera by the door.
- Author's portion of "In
the Schools" (run by Emily). Dave K. will be taking this
over.
- Officers would like to see
the office as a central location for information (start
moving files to office and copy important records there -
not at work or job or home - including bank statements for
the CVG side of accounts.)
- Geek Physique - good club
idea, poorly executed. Matt stepped up and accepted the
blame for this. Tim has done a great job of stepping up and
scheduling weekly walks in the past month or so.
- Matt disliked that the
website wasn't updated with a "history" or "archive" section
full of colourful pics from past events. The calendar
portion of the website is also out of date. Otherwise, Jodie
has done a great job with updating the general news pages as
well as the meeting minutes pages.
- Mailbox reform - MISFITS
mail should stay in the office and not be taken home. At
least one officer swings by the office at least once a week
usually for some reason or another and the mail should be
left in the MISFITS "In" box in the office. This will get us
the mail more than infrequent concom deliveries. More than
one board member should have access to the mailbox and
preferably at least one officer as well.
- How email lists for clubs
are handled. Officers are migrating all clubs to Google
Groups and are requiring more than one head for each club
(co-head or sub-head.)
