  MISFITS Working Meeting Minutes

Thursday, May 25, 2006 - 7:00 PM
Location - MISFITS Office, St. Paul, MN

In Attendance:
Officers -
Jodie, Peter, Matt, Thomas, Erica
Board Members - Pat
Guests - Dave B., Cetius & Erin L.

Post Mortems

  • Scavenger Hunt - Request a smaller space next year. Peter thanked Jodie and Jen Manna for stepping up and running it. There were four teams, nine judges, and we received compliments on it. We had a fun list of items this year. This event alternates every year with Geek Prom. Matt suggested filming the event next year (one cameraman per team) ala Amazing Race style.

Club Updates

  • Geek Physique / Diabegeek - Weekly walks are averaging two people. There have been a few new people showing up but not consistently. The monthly activities have managed to attract no-one but the organizer of the event at this point. Last outdoor walk needed to be moved indoors due to weather. There was not a contingency plan for bad weather but that has been put into effect for the future. We are creating a Google group for people interested in club. Regular e-mails to that group might help increase interest. Possible June "big" activity is an evening at a rock climbing facility but we would need about five people signing up for it to be worthwhile. July we are looking at a bike ride. Officers suggested that, in addition to a Google group, that Tim cross post his announcements to the MNSF and MNSTF communities.
  • Book/Movie Club - Going just fine. Last meeting had ten people. We have migrated over to Google groups and there seem to be no problems. We'll see how it goes when Tim sends the June announcement to that address. June meeting is on the 9th. Watching Fog of War based on In Retrospect by Robert S. McNamara
  • Geeks Read! - June 6th Connecticut Yankee by Mark Twain. 11 people last time, including two new people. Cetius is hosting the June meeting. The July meeting is at the Literary Lounge at Convergence. Eric Flint, GOH, will be sitting in on discussion of his book 1632.
  • Crafty Geek - There were four people at the May meeting including 3 brand new people. Erica and Jodie have decided not to hold a June meeting because so many people are busy leading up to CVG. If enough members still want to have a meeting, Ginger volunteered to host. Another suggestion would be to have it outside.
  • Writers Group Update - We are resting the group for one to two months. After a year of unresponsiveness (see past year's worth of minutes for no writer's group updates), Jim has been removed from leading this group by a vote of both the officers and board members at the last Board/Officer meeting in April. His keys were turned in at the last writer's group meeting on Thursday, May 18th. Jodie wanted Jim to be given specifics for why he was removed. Peter will send him an email. The officers are open to meeting with him or he can come to a working meeting for more information as well. We have kept track of email addresses from interested people for the last several months and Jodie will set up a Google group for our new writer's group (any name suggestions for the group?) Jodie will update the website to reflect that the group is "in transition" until August.

Budget Report

  • Report from Thomas - Current balance $19,806.80. Thomas has written checks in the past month for room parties, scavenger hunt prizes, securing the picnic pavilion, the raptor center, and a new door knob for the office. Budget is synched.

Program Updates

  • GOT Edutainment- Windy is the head of this dept. She is in India and there are no current updates or events scheduled this summer so far. We would like to have her organize a visit to the State Fair this year and also co-ordinate a visit to a water park (either Grand Rios in Brooklyn Park or the Water Park of America across from the MOA.)
  • In the Schools - Erin provided an update. She is still requesting that the "number of children served" and excerpts from teachers regarding the programs be posted to the website. Jodie will follow up on this. As mentioned last month, Dave Kingsley is taking over from Emily Stewart regarding "author duties." Bridget L. (a GOH for CVG) wants to visit schools in July. None are open that we know of (except the Wick's elementary school). Bridget looked at the MISFITS site to get information on the program. We are considering flying her out separately to do a whirlwind tour of other schools and science groups, including getting local news media involved. We have had some problems with school district spam filters rejecting emails from the MISFIT domain. MISFITS bookmarks were handed out at an event recently. World Culture School and Loring Park Elementary school have been completed and St. Cloud (150 kids) is next. We are also having an In the Schools panel on Sunday at CVG plus panels put on by the Raptor Center and the Herpetological Society throughout the weekend. Erin will put up signage advertising the events. She will also speak to Bridget Thursday evening at the GOH reception. Officers also gave Erin preliminary approval to begin a dialogue about partnering with Americore in the future.
  • Writing Contest - Phase one is done. We have received 75 entries, our most ever, including 12 poems, 5 Youth Division 1, 41 Youth Division 2, 7 Youth Division 3, and 10 open entries. There are three judges lined up and the deadline to get stuff to Chris Jones for printing is June 6th. The winners will be chosen and notified by mid-June and posted on the web.

Events Updates

  • Annual Summer Picnic - Sat. 6/10: 11 AM open, 12 PM eating - Cherokee Park. Thomas has reserved the pavilion for all day. It is the smaller pavilion and not the one we had last year. Note for next year - plan on reserving the picnic space earlier (say the end of March / beginning of April.) It is a potluck. MISFITS will provide: condiments, buns, hamburgers, veggie burgers, and hot dogs. Erica will pick up those ingredients at Sam's Club in addition to ten cases of soda pop and ice (mixture of regular, diet, bottled water, etc.) Peter will bring condiments. Matt will pick up charcoal, games, and utensils from the office. Jodie will bring forms.
  • CONvergence Standing Set Update - Dave spent $143.00 at AxMan with Emily. We have the room measured (room 114). We decided that MISFITS logos (large without a lot of purple) on the backs of the lab coats was a good thing. Pat recommended Valley Screen Printing. We decided on a taco bar and a Spagettio's Discharge Machine. Dave will be buying more stuff this weekend and will be constructing various items for the lab (which may feature UV lighting and a beaker area) in the near future. Matt suggested that the lab be modeled (in spirit) after "Deep 13" from MST3K as far as the tone/look we are striving for. Watch Dave's LJ and the staff list for shout outs for volunteers once construction starts.
  • Scott Imes Reception in the Lit Lounge (CVG) - We are having a reception for our writing contest winners, participants, and the general public on Friday from 5 to 6:30 PM in the literary lounge. We will invite Scott Imes' partner (Margie) to attend the reception, where she can talk about the importance of the award. Erica and Jodie will make the opening ceremony announcements as to the winners of the contest. We need party trays for the reception (Peter will handle this). Jodie will follow up to the necessary parties, judges, etc. via email.
  • CONvergence Closing Ceremony Sketch Rehearsal - Officers rehearsed their closing ceremony skit. It came in at about four minutes. Keep in mind that Erica will review upcoming events before the skit starts, so we are looking at a total of about 9 or 10 minutes.

Other

  • Pat gave Thomas a mailbox key
  • Thomas gave Matt sign-in sheets from the last Concom
  • Tony K. visited and filmed all five officers for a featurette on MISFITS for the 2006 CVG DVD Video Yearbook prior to the monthly meeting starting.
  • Matt will send Chris Jones an email that will go out to everyone announcing upcoming events.
