  MISFITS Working Meeting Minutes

Post Mortems

  • Annual Picnic - We bought too much food. There were between 50 and 60 people. Emily suggested that it start later in the afternoon. Bocce ball was fun. Erica recommended buying 88 hamburgers instead of 150. Matt was disappointed that he was not told that the lock at the office was switched out and he spent about an hour waiting at the office before spending an additional 43 dollars at Rainbow on supplies that were locked away in the office. We can review the pictures to see who was there and not. Emily suggested that we get contact information for Ed directly.

Club Updates

  • Geek Physique/Diabegeek - I've been unable to make the last few weeks. I have three other people who have agreed to be the contact when I am not available for a walk, they have been unavailable as well. I'm trying to develop a larger pool of responsible people as I am well aware that a weekly event is something that cannot be attended every time. On average, we are getting four people a week. Which is a good beginning draw. Suggestion - Tim learn how to add a community to Live Journal in MNSF. There's no monthly event for June, given time constraints, but there is interest in a rock climbing outing, which he will try to schedule for July. Jodie created a google group that we can use, and it will be the best way to communicate weather emergencies to interested parties.

  • Book/Movie Club (31 people on Google group) - It's going just fine. Transition to google groups went off without a hitch and George and Sarah are co-heads. There were about ten people there.

  • Geeks Read! (29 people on Google group) - There were three people and they didn't like the book. Erin, Alicia, and Ceitus. Eric Flint will pick the next book at the July meeting.

  • Crafty Geek - (35 people on Google group) - Next meeting will be determined at the panel.
    • No June Meeting
    • Panel at CONvergence on Friday, July 7 @ 3:30 to 4:30 PM
  • Writers Group
    • Club expectations were posted on 10/03
    • Mentioned in meeting minutes monthly over past year as well
    • Head removed via a joint vote of officers and board members.
    • Jodie will set up a google group for interested parties.

Budget Report

  • Thomas passed his audit. Through April we are balanced and May is done but not yet checked. We found the missing five dollars from the Trivia Contest. The odd year income (2005 - 21,933.93.) We are going to have to spend more (about $32,000.00). Insurance was paid for this year and came in $300 under budget. Annual picnic is only $51 over budget. Other expenses that have come in - more MISFITTLE Labs stuff, Mars Con for two nights (Dave K) and website paid. Current balance - $39,586.45.

Program Updates

  • GOT Edutainment - No update. Matt emailed Windy to see if she would be willing to coordinate a low key visit to the State Fair in August and a trip to either Grand Rios Waterpark or the Water Park across from the Mall of America sometime later this summer. We will hear back from her soon. Emily suggested a MISFITS float in the State Fair Parade. Jodie recommended to table this until after CVG. Matt suggested a float might be a good idea for 2007.
  • In the Schools - Jodie has updated the website with the number of children served. It looks really cool and you should all check it out. 1625 children served thus far this year.
  • Writing Contest - Jodie contacted the winners. We had six local winners (one/third). Chris mentioned the booklets were at the printers. The judges will meet for a post mortem sometime after CONvergence to review dates for submission for next year among other things. Jodie will archive the entries on CD and store in the office. Jodie will mail out winning certificates after CVG.

Events Updates

  • CONvergence Standing Set
    • Budget Update - $650 spent thus far.
    • Construction Update - Fan wall has been built. Operating table. Emily will buy a toaster oven and a crock pot. 43" shower rod. 64 gallon. Dave is donating a laptop. Showing educational archives. Thomas might put wireless in room. Matt needs to bring dvds (incl. fan films for Rex). Dave will bring a chalkboard. Small tables for science. Shower curtains. Emily is making a sign.
  • CONvergence Room Party
    • Sign up for shifts (incl. board members if possible) - Times - Set up is Thursday - Load in is 3 pm on Thursday. Jodie is circulating a time shift to everyone. Keys - Jodie, Thomas, and Dave B. will have keys. Thursday night, Jodie will give her key to Emily. Cooking - Wednesday, July 5th. Salsa, taco sauce, sour cream, cheese, jalapenos. Erica and Dave will go shopping at Costco Wednesday morning.
    • Room Party Flyers (to be distributed around convention) - Matt will make these and Chris will give him graphics to use.
    • Food acquisition and set up (taco bar and SpagettiO's)
    • MISFITS Activity Flyers (for handout in room) IDEA - how about handing out a "Free Ice Cream" coupon (that they can exchange for a sundae at the Ice cream Social?) It can have the date/ time / location of the event. Jodie will do that.
  • Scott Imes Reception in the Lit Lounge
    • Peter is responsible for party trays (per last month's notes)
    • Jodie and Erica are making the announcement at opening ceremonies
    • An invitation needs to be sent to Scott Imes's Partner…Emily will get Margie's email address to Jodie.
    • Jodie will notify judges and all local entrants about the reception (per last month's notes.) Jodification
  • CONvergence Closing Ceremony Announcements (Power Point?) to be reviewed to the crowd by Erica. Jodie will make the power point.
  • MISFITS Ice Cream Social
    • Date and Time need to be finalized - August 12/13, August 19/20 look at local parks. Matt will be in charge of this
    • Roadkills volunteered to host again - Cherokee park.
  • Matt will email Jodie a high res picture of the Tardis interior. We need to talk to mainstage about rehearsal time.
