  MISFITS Working Meeting Minutes

Club Updates

  • Geek Physique - (8 people on google group) Tim has been holding weekly walks. It is unknown if any larger scale events or workshops are planned. Walks are only announced in Tim’s LJ and not the Geek Physique Google group. This situation needs to be rectified.
  • Book/Movie – (34 people on the google group) V for Vendetta was the last selection, with three or four new people in attendance. The schedule for the upcoming year has been posted to the website. It was based off October’s decision-making meeting. Tim has not been sending out messages to the Google group. It is recommended that George start sending out messages instead. There was talk at OmegaCon about moving the date from the second Friday to the third Friday.
  • Geeks Read – (39 people on the google group) Last meeting was Ender’s Game at Dunn Bros. in Uptown. Reaction was mixed to the public locale, with some members citing noise concerns. The next book is Hogsfather and the meeting is next week. Great job utilizing the Google Groups for this, Alicia.
  • Crafty Geek – (42 people on the google group) Group on hiatus during December given holiday schedule. We hope to have a January date scheduled soon. Jodie will check with Erica to see if she wants to remain a co-head. If not, she'll ask Ginger if she would be interested.
  • MISFITS of Gaming - (13 people on the google group) No update at this time. This Google Group is also not being used. The list went from 5 to 13 and needs to start being used at this time.
  • Photography Club – No new updates. Taking off agenda for next working meeting unless we hear something.
  • MISFITS General List - (43 people on google group).

Budget Report

  • Unavailable at this time (Thomas unable to attend)

Post Mortems

  • ConCom Org Change Announcement – Some people had questions about details (including request for uncontested elections this year) but most people were supportive or indifferent. Suggested that Secretary keep track of volunteer hours starting in 2007 with index cards (for voting purposes and for staff appreciation party.)
  • Coordinator Meal – Met at Perkins in early November. Dave requested that all coordinators make an effort to attend these types of meetings in their entirety. Budget was expanded in most categories.

Program Updates

  • GOT Edutainment - Body Worlds Cancelled due to lack of interest. Art museum for February.
  • In the Schools – Dave is going to talk to Erin (see follow up items).

Events Updates

  • Winter Event (Rex Movie Night) – Scheduled for January 27th starting at 5 PM social hour, 6 PM first movie (family friendly.) We will announce at concom the preceding week and have flyers to hand out at the concom. Free event, bring canned goods to donate (put on postcard.) We need to know the theme for the flyer. Postcards must be mailed by Saturday, January 7th.
  • Winter Officer Retreat – Scheduled for January 26th – January 28th. Matt might not be able to make it on Friday.
  • Spring Prom 2007 – (update provided by Amada) Our theme is Springtime in Venice, which is the theme of the Prom in the movie Carrie. Romeo will design the flyers, postcards (we want to mail out to Minnesotans and request labels from Concom, pretty please), and tickets with numbers We will have tickets available for MarsCON, we will have a ticket booth for selling tickets at the conventions We will meet in January to make the tickets and work on decoration ideas We will hold an open meeting in February for anyone who wants to join our committee. We will find volunteers to man the ticket booth at all events in March, April and at the Prom itself.  April will be construction month for decorations and photo backdrop. We will have photographers and the ability to sell & print pictures at the Prom. Tickets will cost $8 per person, $10 at the door per person. There will be door prizes, a random king/queen drawing, other awards ie. best dressed, worst dressed, best monster…… etc., Costco foods, munchy trays of stuff, 2 punch bowls and punch and cups and napkins and small plates, a DJ, and a bar. The set up will be similar to the last prom. We will have web content in January and will contact Jodie to help set that up and add an email address to forward to Amada. We will open a PO box for a few months to handle post requests (15 dollar cost), Amada will mail tickets and give checks to Thomas bi-weekly, if that is cool. We will try and get in the free “What’s happening” section of the newspaper and we will place an add in City Pages and maybe Lavender, depending upon costs.
  • Decide dates for Summer Picnic and Ice Cream Social (Thomas to reserve shelters)
    Sat. June 9th – Picnic, Sunday June 10th 2nd choice.
    Sat. July 28th – Ice Cream Social, 2nd choice Sun. July 29th.

Room Party Planning

  • MarsCon - March 02-04 Dave K. (see takeaways)
  • MiniCon - April 06-08 Start thinking of people to ask to throw MiniCon party.
  • Anime Detour - March 23-25 (Lisa wanted to throw a party for us, given to Peter from Dave B. and she wanted to work with Jeremy S. as well.)

Other

  • Picture Archive Project – Peter (CD/DVDs in office)
  • Election Committee update – Mike Lee and Anton Petersen have been approached and agreed to serve on the election. The third judge hasn’t been chosen yet.
  • Review date for next meeting – December public meeting has been cancelled in lieu of a special election meeting to be held among coordinators not up for election and the election committee. This will be scheduled at a later date and Dave will work on scheduling this on the new calendar.
  • Election blurbs and bylaws - Pat should email Jodie the new bylaws for inclusion on the website. All coordinators up for election (Matt, Peter, Chris, Jeremy, Pat, and Ishmael) must write up a brief description of their duties and a platform piece. Deadline for election materials must be sent by Jodie by December 21st.

Takeaways for Next Time

  • Dave B. will find out what’s going on with In the Schools and put pressure on Erin to start working on it.
  • Matt will buy a recipe box and index cards for keeping track of volunteer hours.
  • Matt will give Dave B. all the concom membership lists since he is up for election.
  • Dave will, in turn, give the lists to the election committee.
  • Dave talk to Ish confirming hotel for Trivia Contest, Geek Prom, Movie Night, Officer Retreat.
  • Peter will finalize MST3K MarsCon Party Room with Dave K. and get room reservation in ASAP.
  • Peter will send a reminder to club heads and cc’ misfit coordinators: Must use google groups in addition to any other list you may maintain. You must send a monthly report (without being prompted) about when the group met, where met (for volunteer hour tracking purposes – hosting an event), how many people, and what was covered/done. Send to coordinators@misfit.org
  • Peter needs to solidify Anime Detour reservation – deadline coming up.
  • Peter will talk to Rex boys about details about movie night.
  • Thomas will call and reserve shelters for Picnic and Ice Cream Social.
