Working Meeting Minutes
Thursday, March 28, 2008
Location - MISFITS Office, St. Paul, MN
In Attendance:
MISFITS Coordinators -
Matt, Dave, Jodie, Peter, Thomas
Post Mortems
- All-Regents Retreat
– it turned out okay, the room was pretty good. Job
descriptions could have been looked at more – we should do
this at the next quarterly meeting. Q2 Regent meeting is ???
- MarsCon Room Party
– Went well. Matt isn’t sure if he’ll do the party again
next year, he’ll leave it open for others to run something
if they want
- Minicon Room Party
– Heard it was good. Emily will not be attending Minicon
next year. Dave said there was pretty good traffic for the
room. Warm body count for the convention was about 400
people. Parties were in the poolside cabanas. Projector
equipment was returned properly.
Events
- Trivia Contest –
Scheduled for Saturday, April 12th. Room issues are being
worked out. Peter will have Dave added to the Trivia Contest
yahoo group. Questions are nearly done, run through is
Sunday afternoon, and prize packs will be getting together.
Two teams are currently signed up. Looking for 8 or 9 teams.
- Scavenger Hunt –
Postponed until October 4th, 2008. Peter will communicate to
clubs that each should consider fielding a team. Dave will
approach Ish to be introduced to the hotel as a MISFITS
head. Looking to have electronic recycling at the event as
well – Jodie is concerned about advertising it too far out.
- MISFITS Picnic – We
will have gaming and let MISFITS of gaming know. We have the
14th and the 9th. Shelters reserved 11 AM – 7 PM. Peter and
Dave will cook. Dave will make an announcement at concom
about the correct date for the picnic. Our budget is $275.
- Writing Contest Update
– Contest starts on Tuesday. Home school kids – the other
half can go to a charter school or their local library. Jody
and Jodie are going to work on developing an FAQ for the
website. Maybe have a rule – no published writers for next
year in the open category.
- GOT Edutainment –
Spring Weeping Angel Cemetery Crawl is scheduled for
Saturday, March 29th. Star Wars exhibit? If we sponsor
Mayhew, it’s a GOT event. Dave’s gotten at least 30-40
people interested in the event.
Get Involved Meetings
- Q1 Post-Mortem –
Uptown Dunn Bros. on Hennepin and 34th. Tuesday, May 20th
Dave and Thomas are attending, 6 to 8 PM. 11 new people, 4
MC’s. Don’t mention embezzlement, ‘coup,’ or talk about
OmegaCon pet policy.
- Q3 – Get Edina
Library after CONvergence and have the date set for
CONvergence.
- Monthly working meetings
and Get Involved meetings count for number of meetings
attended but do count for hours towards voting rights
(exceptions can be made depending on the circumstances of
the individual). Working meetings will continue to be held
the 4th Thursday of every month, are open to the public, but
will not be advertised explicitly.
Programs
- Space Camp – Peter
should talk to Dr. Vincent. It’s not for this school year.
Space Camp sponsors scholarships – the organization picks
the kid. Work with Space Camp to establish the trust.
- In the Schools – Do
we want to expand statewide? We are open to the idea but it
would start next year and not this year. Maybe not advertise
it and do it on an as-needed basis. Dave will approach Erin
to see if this feasible. A bus of kids is going to the
raptor center.
- CONvergence Field Trip
– Waiting to hear from Dr. Vincent and Washington Technology
Magnet School. Peter will schedule an appointment to talk to
the principal. Thursday morning would be the kids until 4 or
5. We should talk to the concom about what the jobs would
be. We pay for pizza, they pay for registration. First is a
tour, then there is presentations. Dave will take the other
group. Maybe have Dr. Jim and Peter Mayhew, or Bridget and
John Kovalic.
- Project Giving –
Will need to make a choice for Q3 2008 (Jul./Aug./Sept.)
Room Parties
- Anime Detour Room Party
– Lisa Gilbert is hosting. $300 budget. Did we get the
Room Party Standards/Guidelines to her group? Peter sent
them and she didn’t have any questions/concerns. Matt will
secret-shop the party.
Club Updates
- Review language of room
party guidelines next month.
- Peter will send out email
to clubs mentioning scavenger hunt and Trivia Contest.
- Status of having a
once-yearly club head meeting – Tuesday, May 13th – Have the
meeting at the office. Send out an email to club heads.
- Crafty Geek –
Ginger sent a message to move the meeting to April 13th.
Ginger is in hospital currently. We’re happy to have events
in Minneapolis if people recommend places.
- Geek Physique –
people aren’t sending things out. Have been doing mall walks
but that may change to outside.
- Geeks Read – it was
a smaller group and people said they didn’t like the book.

Staff Appreciation
- Staff Appreciation
Party – Heard back from Melissa about rates – Peter will
talk to Melissa on Sunday about this.
Merchandise
- Charlotte running merch at
trivia? Don’t forget to take hoodies and towels – Dave will
pack assorted stuff.
Web Update
- Jody Wurl sent updates for
all the local author URL’s. Jodie is working on revising the
page to be called “local pros”.
- MISFITS FAQ on CVG Site –
We’ll do this via email.
Budget
- Income from concessions is
$350 (14 sold so far).
- Thomas has acquired
QuickBooks and is in the process of converting.
- We are overbudget on
publications (blank business cards and postage from the
mailing).
- Iron Artist was an
unexpected email – Thomas will send it to everyone.
- Thomas is moving money
from the Society to MISFITS to reimburse for retreat.
- In the Schools has only
spent about 1,000 out of 6,300 (should spend before
October).
- We’ve gotten $2,600 back
from Kate so far. Thomas did get a call from the treasurer
from Ramsey County. We have three checks deposited so far.
Thomas will call them back to clarify.
- Taxes – Thomas will be
going over to Thomas Lewis and bring the taxes over. They
aren’t due until May but we are ahead of the game.
- Overall Budget Update -
1/31, our balance $43,553.05. $38,783.40. Includes money
from 2006.
- We are on direct deposit
now. Thomas will continue to follow up on Amazon.
- Pat still needs to add
Thomas to the online banking system. Peter will remind her
about it.
- Benevolence/condolence
fund will be going to Adam’s fund - $200.
- Two capital purchases 1.
Printer (should go through CVG) 2. Copier – we don’t need
one. If we need copies, then we send to CVG as well.
