Working Meeting Minutes
Thursday, May 29, 2008
Location - MISFITS Office, St. Paul, MN
In Attendance:

Events
- MISFITS Picnic –
Peter and Dave are cooking (decided last meeting). What time
are we meeting? 9:30 AM – at office. Anyone going to secure
the pavilion early? No. What time are we leaving by? Matt
has to leave at 2:30. Everyone else can leave later. Budget
$275 for soda, burgers, hotdogs, cheese, ketchup, mustard,
relish, onions, two kinds of mustard, mayo, salt and pepper,
soy products, condiments, and paper products. Two coolers
upstairs, cans of pop. 200 burgers, 100 hot dogs. Reach Out
to Dave Rust – coincide with June MISFITS of Gaming
GOT: Star Wars Exhibit w/Peter Mayhew @ Science Museum
– 8 adults and 2 children are signed up. The visit will be
August 17th.
- Writing Contest Update
– Judges have made most of their choices. Jodie is working
to resolve a judging issue around multiple lists of winners
in local and open categories. Dave and Jodie will have a
post mortem about the writing contest after the convention.
Next year we’ll have a new rule about one author per email.
- Scavenger Hunt –
1st Choice - Saturday, September 20th, 2nd Choice – Sunday,
September 21st, 3rd Choice – Saturday, October 18th, 4th
Choice – Sunday, October 19th
- Electronics Recycling
– Mike Lee is handling point on that, Dave will follow up
with Mike Lee once a room has been secured. We’ll do 10 AM
to 7 PM.
Get Involved Meetings
- Post-Mortem – Three
new people showed up in addition to Matt, Peter, Dave
Kingsley and Mike Lee showed up.
- Plan Q3 – When/Who
(@ Edina Library) 6 PM – 8 PM. July 15th or Wednesday, July
16th.
- We should have flyers and
membership forms at all future events.
Programs
- Space Camp – Dave
has left a couple of messages but MISFITS still haven’t
gotten in contact with anyone there.
- In the Schools –
One of the Hennepin county libraries will have a raptor
center visit in Brooklyn Center.
- CONvergence Field Trip
– Peter hasn’t heard back from Dr. Vincent yet. Principal
wants to do it again, about 30 people. It’s too much trouble
to offer a second school this year. We’ll revisit this next
year, perhaps.
- Project Giving –
Will need to make a choice for Q3 2008 (Jul./Aug./Sept.)
Room Parties
- CVG Room Party –
Theme: In the Schools & Space Camp/Space Exploration. Food:
Pizza, Tang, Freeze Dried Products (incl. Ice Cream). Hours:
9 PM – 1 AM (Thurs, Fri, Sat). Shift Assignments plus
supplies, flyers, set up, tear down. Collectable 10-Year
Button (need to design & make it)
Peter called four places regarding Pizza (6 pizzas an hour
for four hours) – 24 Pizzas a night - Davanni’s would be
$382 a night. Davanni’s could deliver ahead of time. Dominos
would $176 a night. Cheetah would be 296 a night (the one in
Eden Prairie), Pizza Hut would be 276 a night but would have
to be rung separately. The group decided on Domino’s.
We need a badger at the door. Peter will be making a
highlight video of MISFITS stuff for the meeting. Dave will
build us a crowd control thing. We need a minimum of three
people at all
times.
Shifts: 8:30 – 9:30 – Jodie, 9:30 – 10:30 – Elliott, 10:30 –
11:30 – Peter, 11:30 – 12:30 – Dave, 12:30 – 1:30 – Matt,
Thomas will fill in one shift per night as his schedule
allows.
Each person working gets two slices per shift. Regular party
attendees get one piece of pizza per shift. We hand out
tickets (one per slice). People have to exit through the
back. Our personal trash is in the bathroom.
Elliott will make sure he gets on the checking account.
Pizza policy. Jodie will make signage to state a “Pizza
Policy”. The pizza will not be mentioned on flyer
advertising. Collectable ten year button should have a pizza
background.
Our party theme is 10 years, the focus is on In the Schools.
Jodie will design the button. We should get the artwork done
and get the buttons done a week before the con. We’re going
to hand them out to current and former staff.
Peter will follow up with Dominos and look online for freeze
dried stuff.
Club Updates
- Peter has spoken to all
the club heads to remind them of their responsibilities
(except Ginger) about the need to volunteer at the CVG party
and to come to the picnic with games.

Capital Expenditures
- Button Maker – We
approved this in March. Dave and Jodie suggested that we
consider purchasing a smaller size button for In the
Schools. Manual ones are selling for $350-$400 on eBay. We
agreed to wait until next year to purchase a manual one.
- Photo Printer – We
would use this for Geek Prom and GOH photos. It’s a Cannon
9000. It will be about $500 or so after supplies. Peter will
get more information about the cost of supplies and send it
to the group. The group approved purchasing the printer.
- Peter also mentioned a
“Jeopardy in the Box” system. No decision was made.
