Working Meeting Minutes

Events
- Geek Prom - Lisa
Gilbert and Terri may be willing to run Geek Prom.
- Picnic Post Mortem -
We had about 110 people. Having the Big Pavilion at
Cherokee Park worked out well. We should keep it for next
year. We need about 60 hotdogs. We should get less brats and
make sure to get pre-cooked brats only. We should buy
tablecloths for the tables. Next year, aim for 120 burgers
not 160. Be prepared for at least two waves of people – a
lot of people showed up later in the day. We’ll still cook
food during non-peak hours. We should use the small folding
table in the office for food prep near the grill area. We
should get a good cutting knife. Having gaming on tables
worked well. We don’t need two bottles of ketchup. We could
use more water and yet another cooler. We were $130 over
budget. We should bump up the total accordingly. The budget
should be about $500.00, which includes the permit fee. We
had new people who hadn’t attended MISFITS before.
Programs
- Project Giving –
Jodie recommended donating to a food shelf in Q3 for Project
Giving.
- Writing Contest
Reception - We need the combo lock for the refrigeration
truck.
- Farnsworth Fieldtrip
Tour - Print off glossies for Peter Mayhew to sign?
Pizza for kids? Crayons for coloring? Fantasy Flight Games?
(Peter will check into it)
Room Parties
- Jodie will upload Party
Guidelines to the website and mark them as a “draft”.
Coordinators will revise them sometime in the fall (before
party season kicks off again).
- CONvergence 2008 Room
Party - Peter called Dominos. The total is $51.32 per
hour. $616.00 for all three nights. 6 large pizzas per hour.
We’re going to try to talk to Dominos during the same day as
the concom. We have 4 of the Culligan bottles reserved in
the office. We could get dried fruit from Costco or Sam’s
Club. Dave will be bringing rope and stanchion. Peter
recommended stringing some Christmas lights. Jodie has
purple ones she can bring. Plastic will be put on the floor.
We need to get some stuff out of the pods. We have the good
dolly. Peter will transport stuff Monday or Tuesday. From
the office, we’ll need: bucket, drink cooler, four big
bottles of water, cloth banner, sign up sheet, flyers,
magazine rack, photos and display boards, DVD player,
wireless router (Thomas), space camp dvd (Matt), lab coats,
electrical circles, picture CD, string to hang banner,
nails, tape, money bag, raffle tickets, bring one
oscillating fan. Put stars around the room, Peter could
print out some Space photos (from APOD – Astronomy Picture
of the Day).
