  MISFITS Working Meeting Minutes

Location - MISFITS Office, St. Paul, MN

Events

  • 2009 Trivia Contest – April 18th (Tentative Date) Plaza 5 and 6 ideally and risers. Dave will work on scheduling a post mortem.
  • 2009 Prom – Teri Blauer, Lisa Gilbert, Nicole Lorenz are the prom committee. Lindsay DeVore is looking to help as well. Prom in May – past amount has been about $600. Pick three dates for Prom. May 9th, 16th, or 23rd Ball pit or bouncy castle? Consider part of the grand ballroom or Atrium 4. Mentioned ice breaker. Vintage video game theme. 8, 9, or 10 dollars. Create back-drop, cardboard cutouts to pose with, pictures. Consider age limit.
  • Ice Cream Social - Saturday, August 9th – Jodie, Peter, and Elliott. Meet at the office at 11:30 AM. Jodie and Matt will secure the Pavilion at 1 PM. Elliott can talk at the meeting.
  • Star Wars Exhibit - Sunday, August 17th – 92 people signed up. Dave needs Pat Wick’s science museum number for her tickets. Pretty much everyone has paid. Pre-paid tickets will be available at the Ice Cream Social and at Will Call. Ticket reservations are closed. People need to get there by 12:30. Don’t come in costume but you can bring a non-professional panel, no light sabers.
  • Scavenger Hunt - Sunday, October 19th – Peter’s started a list and will be looking for volunteers. Looking for judges.
  • Cinema Rex Movie Night + Programming Brainstorming Session - Saturday, Nov. 15th -Vilification tennis has a show the same night.
  • 2009 Picnic – June 6th – Elliott needs to book the large pavilion.
  • 2009 Ice Cream Social – August 8th – Elliott needs to book the large pavilion.
    CONvergence 2008
    MISFITS Party Room
    – Continue model where we don’t cook. Peter suggested a pig roast and will look into it. It could also possibly work for the picnic. We can brainstorm some ideas for the retreat. It was a success. Sign for the bowl saying “Tickets Here.” Consider opening earlier but keep the food starting later. We need something more visual – projecting something onto a screen, Christmas lights, something. We could consider an outside group or one of our clubs sponsoring a space during the day. Need to show people how to put up flyers properly. MISFITS didn’t have a volunteer book. Look at getting one next year.
    Timeline and Archive Report Review – Jodie will email out for review. Some resume problems (plastic on the floor), no volunteer booklet, and the con com badge.
    CVG Field Trip – Instead of having food, programming, games then do food, games, and then programming later. Looking at going to the Source to run games. Also do puzzles or a geek faire. Good job learning from last year. Elliott will check to see if a check has been cut from Farnsworth to pay for half the kids membership. Did we cut a check for half as well? Peter should do a timeline for this. We should have this all set by June 1st.
    Writing Contest Reception and Booklet Distribution – Look at scheduling A2, A3, or A8. Got rid of all the books (print run of 400). Pubs budget needs to go up for next year if we continue to print more. Loved having a guest of honor come and talk. Looking to have a graphic/comic submission for next year. Could also invite all our In the Schools pros. Jodie hasn’t ordered the certificates yet – she has to work it out financially with Elliott.
    Crafty Geek Meet Up – Worked out well. Next year, don’t schedule it at 9:30 AM. Had 15 people. Jodie ran to the freebie table to get flyers. Next Crafty Geek meeting is the same day as the Star Wars exhibit.
    Geek Reads Meet Up – 7 people – the core group. One new person who didn’t speak and just listened. Keep it in the Lit Lounge. Was at 12:30 PM.
    Clubs Fan Faire Panel – About 20 people. Parts that were good and parts that weren’t. Star Wars people, the Farscape group – The Delvian Seek, Jodie, French and Indian War reenactment group, and MNSTF. Maybe not have it next year or tweak the format a little bit. Maybe a panel about “how to run a club.”
    365 Day Convention Panel – A better time for the panel would be Sunday a little earlier. All of us should be on the panel. Look at putting “what’s coming up on tape.” We need to film the Ice cream social now. 

Publications/Web Report

  • Post-Mortem/PR1 Content and PR2 Content – We served 864 slices of pizza and lots of Tang. Bullet points of what we can work off 52 out of 54 permission slips, programming, games, volunteering, get an ice cream social picture in there. FFG needs a thank you as well as a thank you to the CONvergence Concom, Dr. Jim, David Weber, Peter Mayhew, and Wally Wingert.
  • Embedded Web Calendar Feedback – Dave likes the web calendar. You can change things – it’s interactive. When there’s an event, Dave will post it. Jodie will send a message out to the clubs that they can start using it. 

Get Involved Meetings

  • Q3 Get Involved Meeting – This will be at the ice cream social. Dave and Elliott are still in charge of the Q4 meeting (Oct, Nov, or Dec). We could do it in Ridgedale – talk to Jody, it’s where she works.

Programs

  • Space Camp – Thomas is taking this over. He talked to the potential lawyer about it.
  • In the Schools – postponed for the summer. All the numbers Jodie has been given are now on the website. Dave said another Robotics presentation is planned. The raptor center presentation at the convention was packed. Dave will talk to Alicia about getting more authors next year. Eventually, Jodie would like to work on a packet next year. If we want to do another field trip next year, we have to arrange it much earlier. The new contact for Farnsworth is Jill Wald for all field trip stuff.
  • Q3 Project Giving – We’re okay with going with Second Harvest unless something else comes up. We can cut the check at the September working meeting.
  • GOT Edutainment – Peter will talk to Dawn Brodie about Wabasha Street Caves or St. Paul Gangster tour. State Fair visit or Renfest visit?

Room Parties

  • Flyers for FallCon (10/04 – 10/05) – Matt should remind Jodie a little before the September meeting. Matt will bring them to Fall Con and put on the freebie table.
  • Room Party Guidelines – Posted as a PDF as a work in progress. Check on web to see what you like and don’t like.

Club Updates

  • Peter mentioned an Adult PE night. We can rent a gym or do a softball game. In Lilydale, there’s an archeological site. Peter and Lori would be good at this. Lots of rec center events.
  • Comic/Writers Group – a pre-existing comic organization called the Black Hat Collective. Critique comics, do art jams, sharing circle. May need some help for putting up some artwork online.

Treasurer Report

  • Elliott is on the checking account now. Thomas will give Elliott our letterhead and standard Project Giving letter. Thomas will hang onto his mailbox key.
  • MISFITS Coordinator Transition (Thomas to Elliott) occurred on Tuesday, July 22nd, 2008. Elliot has a set of keys for the office and Peter will give him an office orientation including alarm codes after the meeting. Elliott will look into getting wireless internet for the office.

Capital Expenditures

  • $500 for file cabinets. Charge it to society. Elliott will buy the cabinets from Sam’s Club.

Archives

  • Create a “here’s what you do during the year” and also keep an archive of “raw meeting minutes” and other MISFITS items created during the year. This should be done between January and April (something that we can work on with Matt’s replacement). “Hit by a bus/win the lottery” document. Jodie will email Matt back his job description to work off of.

Miscellaneous

  • After every meeting, communications coordinator should send out an announcement email to MISFITS General List, including working meeting date change. Also send a separate email to all interested parties alerting them of the change. Anyone who wants to dish ice cream can volunteer.
  • Need to think about staff gifts for 2008-2009. August MISFITS meeting
  • Lawyer Visit Recap – Thomas sent out to the group. Waiting for a few more yes’es.

Upcoming Dates

  • MISFITS Working Meeting - We aren’t meeting in December. Meetings will now be on the fourth Tuesday of every month.
  • January Retreat - January 23, 24, 25th (weekend after the annual election). Dave and/or Peter will talk to Ish.
  • Upcoming Quarterly Regent Meetings:
    3rd Quarter – Thursday, August 7th at Office
    4th Quarter – Friday, October 10th – Sunday, October 12th @ Sheraton (Retreat)
